2011 Update:

POLICIES:
 
  1. CHECK-IN instructions – Your confirmation will include instructions and a phone number to call at least 48 hours prior to your arrival to make your check-in arrangements. We do not keep office hours***, so it is important to set a scheduled arrival time. Without check-in arrangements made in advance, there may not be anyone available upon your arrival to check you in. Typically: CHECK-IN TIME is between 4-6PM. We understand that sometimes a later arrival time is needed, we just need to know so our day can be organized accordingly. ***Owner/Innkeeper lives on the premises, but since the property is small, has to multi-task the property and does not sit in the office.
  2. CHECK-OUT TIME is 11:00 AM. Check out may be extended up to two hours based upon availability and prior approval by Cottonwood Hotel. Check-outs extending beyond 11AM on date of departure is subject to an additional night’s charge (if no prior arrangements were made).
  3. Rates: Are Pre-Paid and Non-Refundable.
  4. MINIMUM AGE – Anyone under the age of 21 must be accompanied by an adult.
  5. CHANGES in number of guests/Conduct of guests – Please inform Cottonwood Hotel of any changes to the number of guests on your reservation prior to arrival. All overnight guests names must be registered.
  6. Cottonwood Hotel Suites are not rented out for parties. If there is any excessive noise or music, illegal activity, complaints from neighbors or violation of our policies, guests may be asked to leave the premises immediately. Under these circumstances, a refund is at the discretion of Cottonwood Hotel. You are renting a privately owned apartment in a residential community and we ask that you treat your neighbors in the building with the same courtesy and respect that you would your neighbors at home.
  7. Excessive Noise: In compliance with the Cottonwood Hotel policies, special attention must be given to noise control during the hours between 10PM and 7AM. However, guests are asked to use common sense and consideration of other residents in keeping noise at a reasonable level. No boisterous activity or loud music is allowed. Volume of radios, TV, stereos and musical instruments must be kept at a reasonable level at all times to avoid disturbing other residents. Please avoid boisterous or noisy activity in the hallways especially if you are coming in late at night. Keep in mind that you are guests in a building, which is home to others.
  8. Housekeeping/Supplies: Housekeeping services are not provided during your stay, unless you have made prior arrangements. A starter supply of paper, soap goods for bath and kitchen and basic cleaning supplies are provided. Your unit will be cleaned and sanitized prior to your arrival. If for any reason you do not find the cleanliness of the apartment up to your standards upon arrival, please let us know immediately and we will clean to remedy the situation. Optional housekeeping services may be scheduled upon request (48 hours notice required). $35 per visit includes light housekeeping: changing of bed and bath linens, dusting, vacuuming, cleaning the bathroom and kitchen and putting away clean dishes. If dishes need washing or appliances need scrubbing, or any other extensive cleaning is needed, there are additional fees. Laundry facilities are located on the second floor of the building. We do have an on-line concierge service for shopping, running errands, faxing, etc., at additional fees. (48 hours notice required)…
  9. ASSIGNED PARKING. You will be ASSIGNED (1) one parking space in the rear parking lot. If you have any guests visiting you, they MUST park on the street and not in the parking lot. Any unauthorized vehicle in the parking lot will be booted for a fee of $50 at vehicle- owners expense. Cottonwood Hotel will not assume responsibility for damages to your car or rental car. Guests assume all responsibility for damages done to their car or to anyone else's while using the parking lot at the Cottonwood Hotel.
  10. SMOKERS - All of our suites are strictly non-smoking. No smoking is allowed by guests or their visitors within the unit. (No, it is not acceptable to simply open a window and blow your smoke outside). There is also no smoking allowed in the common areas of the hallways, stairwells, fire escape, or laundry facility. If there is tobacco smell or any other evidence of smoking in the unit, there will be a $500 fee charged to your credit card in addition to any excessive cleaning or dry cleaning that is necessary to fumigate the apartment. If there is evidence of guests smoking in their unit, they will be asked to leave immediately with no refund due in addition to the $500 fine. ***We do allow smoking on the balcony ONLY if you are considerate of nonsmokers and you place any smoking evidence (butts/ashes) in the trash. Hallway door MUST be closed!
  11. PETS - No PETS of any kind are allowed on the upper floor. Any evidence of unauthorized animals in the apartment (either that of the tenant or a guest) will result in a $500 fine plus any damages or excessive cleaning necessary to return the apartment to its original condition. If unauthorized pets are found to be in the suites, guests will be asked to leave immediately with no refund due in addition to the $500 fine. Our ground floor suites are PET-FRIENDLY with prior arrangements and pet fees, ONLY.
  12. Keys – You will be provided keys for your suite, the entrance door, trash, and mailbox if needed. There is a charge of $50 per unreturned key. If re-keying or replacing a lock is necessary, charges can range from $125- $300 replacement charge plus the cost for keys.
  13. Security of the Unit - When you rent the unit, you assume responsibility for it and its contents, as well as your personal property. Always lock doors when you leave. Keys are required for entering upstairs entrance door. If you are expecting guests, ask them to press your door bell room number. This will ring your room and you can go downstairs to let them up.
  14. Risks/Safety – Children are welcome. However, there may be conditions in and around the building that could pose hazards to them and/or adults. Cottonwood Hotel does not assume responsibility for injuries occurring during your stay. Children must be supervised at all times.
  15. CANDLES are not allowed in the apartment due to fire danger.
  16. TRASH. PLEASE EMPTY TRASH DAILY and place in the locked dumpster in the rear parking lot.
  17. 24/7 Emergency Maintenance...If there is an emergency, please telephone our home/office. If we do not answer please leave a message and we will get back with you ASAP. If the problem can wait until morning, we would appreciate your calling us no later than 8PM.
  18. Lock-Out Policy. If you should happen to lock yourself out after hours, please call our office. We will meet you with a loaner key, but there will be a charge. 
  19.  MINIMUM OCCUPANCY… The Cottonwood Hotel has a minimum occupancy code in effect. As a historic property with only 1 entrance in and out of the upper floor, there is a minimum of 10 people for the WHOLE UPPER FLOOR. That means that ONLY 1-2 people are permitted per suite. Once in awhile if a single is staying in one of the suites, we can occasionally place 3 people in units 1 or 2 with PRIOR arrangements and fees.
